Our Client is currently seeking an Executive Assistant on a temporary 6 week assignment commencing the first week of January 2022.

Your new role

You will work full time hours from Monday to Friday and report directly to the Chief Executive of People and Culture. The role of Executive Assistant is accountable for the provision of high quality and timely support. This includes providing proficient and confidential administrative services and secretariat support to nominated Board and Executive Committees as well as preparation of correspondence, briefings, diary management and record management.

Responsibilities will also include:

  • Monitor and manage all phone calls and emails, prioritise actions and escalate where necessary
  • Ensure the Executive is fully prepared for all upcoming commitments including necessary briefings, papers, travel arrangements and parking
  • Daily office management
  • Process accounts, petty cash, financial requests for payment
  • Prepare and format documentation
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Responsibility for the management and scheduling of the Incident Commander and Director on Call rosters
  • Ordering of office supplies


What you’ll need to succeed

As this role requires you to work on site, as per the latest Government mandate you will be required to show proof of your vaccination status.

To succeed, you will need:

  • Availability to commence the first week of January 2022
  • Undergraduate Qualification or above/or significant experience in a similar role, demonstrating outstanding organisational skills
  • Highly skilled in the MS Office suite of products to produce a range of high quality documents as well as Microsoft Outlook Calendar
  • Previous experience in minute taking
  • Excellent communication skills, both written and verbal
  • Proven ability to work with a high degree of independence, determine priorities and anticipate requirements
  • Proven ability to recognise and discreetly deal with confidential matters, demonstrate integrity of the highest order and exercise diplomatic skills appropriate to sensitive and high level issues
  • Proven ability to meet stringent deadlines and perform well under pressure
  • Excellent planning skills
