The Client

The Department of Communities and Justice (DCJ) is the lead agency under the Stronger Communities Cluster. DCJ works to enable everyone’s right to access justice and help for families through early intervention and inclusion, with benefits for the whole community. Stronger Communities is focussed on achieving safe, just, inclusive and resilient communities by providing services that are effective and responsive to community needs. For the first time, the creation of DCJ and Stronger Communities provides an opportunity to focus on prevention and early intervention across both the social welfare and justice systems.

A part of the division of the Department of Communities and Justice, Infrastructure & Assets unit is responsible for the end-to-end management of the department’s asset portfolio, the delivery of the department capital infrastructure programs and the strategic planning of the department’s immediate and long-term infrastructure needs.

The Role:

Workplace Transformation will implement a strategic accommodation transformation across all of the Department of Communities and Justice to improve the experience and satisfaction of both staff and clients, ensuring improved accessibility, inclusivity and equality in our workplaces.

Key Responsibilities:

  • Collects, analyses and understands project requirements.
  • Develops and maintains project plans, including documentation of project scope, objectives, deliverables, key milestones, timelines, schedules, internal and external resources, project dashboards, etc.
  • Communicates the project status, requirements, and structure across the Workplace Transformation Program and Infrastructure and Assets team as required.
  • Coordinates the timely delivery of all Workplace Operations work items to ensure successful project delivery.
  • Defines potential problems and suggest alternatives based upon cost implications, time constraints, and customer quality standards.
  • Collaborates with Fit-out & Design, Strategy, Technology and Portfolio Coordination teams in project definition, feasibility, and approval process.
  • Manages day-to-day progress of projects including risk assessment and problem resolution.
  • Conducts project reviews according to prescribed process/structure.
  • Serves as the main day-to-day contact on current projects for internal project teams, clients and suppliers regarding all work items relating to the stream.
  • Attends project planning meetings as needed; serves as subject matter expert regarding workflow, processes, capacity, timelines, etc.
  • Participates in cross-functional teams to develop and/or adapt processes, policies, and workflows to improve efficiency, accuracy, speed, quality, etc.
  • Plans, directs, and coordinates activities of employee(s) to ensure goals or objectives are accomplished. Mentors, coaches, trains, and develops team.

The successful candidate must demonstrate strong capabilities in:

  • Managing and overseeing all aspects of project planning, development and implementation for a range of projects, including developing project plans, coordinating resources, managing budgets, meeting reporting requirements, and supporting project-related activities, to ensure project outcomes are achieved on time, on budget, to quality standards and within agreed scope in line with established agency project management methodology
  • Establishing and maintaining stakeholder relationships through effective communication, negotiation and issues management to engage stakeholders and ensure project deliverables are met
  • Monitoring and evaluating all aspects of project implementation, including risk and contingency management, benefits realisation, project impact and quality measures, to identify and address issues, assess project progress and effectiveness, and achieve project outcomes
  • Managing a project team/s, ensuring compliance with governance and quality requirements, to successfully deliver all key project/s milestones and outcomes
  • Undertaking research and formulate recommendations to support evidence-based project planning and decision making
  • Providing advice and information to stakeholders on emerging project issues and to support project development and delivery in line with established plans, budgets, timeframes, policy objectives and other project and priorities
